Energetic Technical Administrative Assistant

Great opportunity to join a dynamic startup environment and help in the growth and success of the company. We have need for an Administrative assistant who will report directly to the owner of the company and work with other individuals in the company in performing day-to-day administrative tasks. Ideal candidate must be self-starter, have great communication skills and have a strong ability to work with others.

Responsibilities:

  • Good communication skills, both orally and written
  • Strong calendar management (scheduling meetings and appointments)
  • Handle incoming telephone calls, resolve routine issues and/​or screen and route calls appropriately.
  • Prepare and edit correspondence, including e-mail.​ Initiate action or respond as appropriate
  • Create and edit client presentations and spreadsheets using MS Word, MS PowerPoint and Excel
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Process expense reports and purchase orders
  • Manage highly confidential and personal matters and information
  • Experience supporting technical personnel
  • Receives, logs and sorts mail/packages appropriately with special attention to time sensitive mail/materials.
  • Order supplies for service clusters/break rooms using standard kitchen supply list (coffee, cups, plates etc)
  • Coordinates office needs with food vendors (vending, soda machines)
  • Individual must be able to work independently with minimum supervision
  • must have a high degree of organizational, analytical and motivational skills

Requirements:

  • Two (2) to five (5) years of administrative experience with established track record including experience supporting a senior level executive is required
  • Advanced proficiency in MS Word, MS Outlook, PowerPoint and Excel is required
  • Strong eye for details and organization skills are required
  • Ability to set priorities, take initiative and exercise sound independent judgment within areas of responsibility is required
  • Excellent communication skills both written and spoken are required
  • Results driven, capable to work well under pressure and able to effectively prioritize and handle multiple tasks
  • Possesses solid follow-up skills
  • Strong command of professional telephone protocol
  • Exhibit and uphold a professional demeanor at all times
  • Must have a proactive and positive, team-player attitude
  • Ability to complete tasks on time
  • Strong work ethic (consistently at work and on time)
  • Demonstrate a positive and productive attitude
